This policy explains which personal data we collect through labs.otimify.net, why we process it, how long we keep it and which rights you can exercise. We wrote it in plain language because we want you to know exactly what happens to your information when you request a diagnostic call.

What data we collect
We only collect the data you voluntarily provide when you fill in the diagnostic call request form:
- First and last name.
- Company name.
- Work email address.
- WhatsApp phone number.
- Country.
- Job title or role within the company.
- Company size (headcount range).
- Systems your company currently uses (CRM, ERP, spreadsheets, messaging or others).
- Date and time chosen for the diagnostic call.
What we use your data for
We do not ask for sensitive data or for information about people outside your company. We process your data solely to handle the request you make: we do not sell it, we do not hand it to third parties for their own purposes and we do not use it for mass marketing. Specifically, we use it to:
- Get in touch with you to confirm and coordinate the diagnostic call.
- Prepare the call: understand your company's context, the systems it uses and the starting point for the diagnosis.
- Hold the call and record its conclusions.
- Follow up afterwards: send you a summary or a proposal, or answer related questions.
- Keep an internal record of the requests we receive and of the commercial relationship.
Legal basis
Our processing rests on two legal bases. First, your consent, which you give by voluntarily completing and submitting the form. Second, our legitimate interest in responding to a commercial request that you initiated yourself and in carrying out the pre-contractual steps needed to assess a possible engagement.
You can withdraw your consent at any time by writing to lucas@otimify.net. Withdrawing it does not affect the lawfulness of any processing carried out before that point.
Where your data is stored
The data you submit is stored in our CRM and in the calendar we use to schedule calls. Both run on cloud infrastructure providers, which act as data processors and may not use your data for their own purposes.
Only the Otimify team members involved in commercial management and in preparing the call have access to your information. We apply reasonable technical and organizational measures (access control, encryption in transit, activity logging) to protect your data against unauthorized access, loss or alteration.
International transfers
The cloud infrastructure providers we rely on host their servers in the European Union and in the United States, so your data may be transferred outside your country of residence. When that happens, we make sure appropriate safeguards are in place, such as standard contractual clauses or other mechanisms recognized by applicable law, so that your data receives an equivalent level of protection.
How long we keep your data
We keep your data for as long as the commercial relationship lasts or as long as you maintain an active interest in our services. If there is no activity (messages, calls, meetings or any other interaction) for 24 months, we delete or anonymize your data, unless a legal obligation requires us to keep it longer.
If you ask us to delete your data before then, we will do so within a reasonable time, provided no legal obligation prevents it.
Your rights
With regard to your personal data, you have the right to:
- Access: know which of your data we hold and how we process it.
- Rectification: correct inaccurate or incomplete data.
- Erasure: ask us to delete your data.
- Objection: object to processing based on legitimate interest.
- Portability: receive your data in a structured, commonly used format.
How to exercise your rights
To exercise any of these rights, write to lucas@otimify.net stating which right you want to exercise and which email address or phone number you used to contact us, so that we can identify your request. We respond within 30 days at most. We do not charge for handling these requests unless they are manifestly unfounded or repetitive.
If you believe we have not handled your request properly, you can lodge a complaint with the data protection authority in your country.
Cookies and analytics
This site does not use cookies of any kind: no first-party or third-party cookies, and no advertising or tracking cookies.
To understand how the site is used we rely on Umami, a cookieless analytics tool hosted on our own infrastructure. Umami stores no personal data, does not record full IP addresses or user identifiers and cannot follow your browsing across different websites. It only produces aggregate statistics such as pages visited, approximate country and device type.
Applicable law
We process your data in accordance with Uruguay's Personal Data Protection Act (Law No. 18.331) and its implementing regulations. If you live in the European Union or in Spain, you are also protected by the General Data Protection Regulation (GDPR) and the Spanish legislation that implements it. If you live in Brazil, you are protected by the Lei Geral de Proteção de Dados (LGPD). In each case we apply the standard of protection that corresponds to your jurisdiction.
Changes to this policy
We may update this policy to reflect changes in our processes or in the law. The current version will always be published on this page with its last-updated date. If a change is material and we have your contact details, we will let you know.
